Privacy notice
Swanston Advisory Ltd (“we”) is an independent advisory practice. This notice explains what personal information we hold, why, and what you can ask us to do with it.
Who we are
Swanston Advisory Ltd, company number 17356658, registered in England and Wales. Registered office: 66 Paul Street, London, England, EC2A 4NA. We are registered with the Information Commissioner’s Office, reference ZC245507. For anything about your data, email peter.horne@swanstonadvisory.com.
What we hold and where it comes from
If you use the contact form on our website, we receive your name, email address and message. If we know you professionally, we may hold your name, job title, organisation and work contact details, which you gave us or which are publicly available (for example on LinkedIn or your organisation’s website). If you are a client, we also hold notes and correspondence from our work together. We don’t collect sensitive information such as health data, and we ask you not to send it.
Why we use it
To reply to enquiries, to keep in touch with people in our professional network, and to deliver and administer our work with clients. We rely on our legitimate interest in running the business and staying in contact with people we know professionally. For clients, we also rely on our contract with you, and on legal obligations such as keeping financial records. We don’t sell your information or use it for automated decision-making.
Where it’s held and who sees it
Your information is held in our email and file storage (Microsoft 365) and our contact management system (Attio). We may also message you on WhatsApp if that’s how we already talk. Our accountant sees client billing information, and we will share information where the law requires it, for example with HMRC.
If you use our contact form, your submission is processed and stored by our website host, Netlify, on servers in the United States. Netlify checks each submission for spam using a service called Akismet, also based in the US.
Some of our providers store data outside the UK. Where they do, your information is protected by the UK-US data bridge or by contracts approved under UK data protection law.
Our website
The site doesn’t use cookies. We count visits using GoatCounter, an analytics service that doesn’t use cookies or track you across other sites. Netlify also records basic visit information such as IP addresses to keep the site secure. We don’t use any of this to identify you.
How long we keep it
Enquiries that don’t lead to further contact: 12 months. Professional contacts: while we’re in touch, and we review our records every two years. Client records: six years after our work ends, as required for tax and legal purposes.
Your rights
You can ask to see the information we hold about you, correct it, delete it, restrict how we use it, or receive a copy to pass to someone else. You can also object to us using your information, and if you ask us to stop contacting you, we will. Email us and we’ll respond within one month.
Complaints
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. We’ll acknowledge your complaint within 30 days. You can also complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
